The paths you're weighing

Three ways B2B case studies get made

All three can work. The honest question is what each one actually costs, and what's still your job when it's done.

Do it yourself

Genuinely works if you have the customer relationship and the calendar space. The cost was never the writing — it's the chase.

Freelancer or agency

Professional case study writers produce good prose. The interview, the consent trail, and the approval chain usually stay on your side of the line.

With Proofmap

The whole motion, on the same platform our ongoing clients run their proof on. You bring one happy customer.

The engagement

How the engagement runs

The bottleneck in a case study was never production. It's the gaps — the weeks between the interview and the draft, the draft and the review, the review and the answer. Those gaps are self-inflicted, and this is how we take them out.

  1. 1

The interview45 minutes of your customer's time

One conversation, on video, on the record

We run it, and consent is handled in the session rather than chased afterwards — so you're never the one asking a customer you like for a signature.

    • Interviewing customers is what we do — and a neutral third party gets candour an account manager rarely does.
    • Shot to be cut, not salvaged — the footage is usable because it was filmed to be.

Prefer to run the interview yourself, or sitting on a recording you never used? Tell us on the call — we can often take an existing interview into the same process.

  2. 2

    ProductionTwo to three business days

The platform does the heavy part

The interview goes into the Proofbase, which ranks the quotes by which ones will actually move a buyer. Our MCP then puts Claude and ChatGPT to work against them. The models aren't the advantage; what we point them at is — everything stays in your customer's voice because it's built from what they said.

    • Storyboarding runs off the ranked quotes and routes straight to our video editing team.
    • Take the design into your own CMS, or take the HTML already built and ready to embed.
  3. 3

    ApprovalTen minutes of their time

A portal, not an email thread

Your customer gets a link: every quote awaiting sign-off, where each will be used, and every asset built from them — in one place, with a full audit trail. Not five attachments and a paragraph asking them to check.

    • They can hand it to legal or comms with the same link. No account, no forwarding chain.
    • Nothing publishes without a recorded approval, and every action is timestamped and exportable.
    • Approve once and every downstream format inherits it — reusing a quote next quarter doesn't reopen their review.

The reason this is fast isn't the software — it's that they're reviewing the same week they spoke, while the context is still warm. Most approval cycles die arriving weeks later, when the customer no longer remembers what they said.

  4. 4

    The asset set

    Everything the interview could give

Delivered ready to publish, every claim traceable to the person who said it and approved it.

    • If their brand can't appear, the anonymized version is part of the standard set, not a fallback — the proof survives without the name.

The process moves as fast as your customer can talk to us and sign off. Find out in 30 minutes if that's you.

Buyer's checklist

What to ask any case study writing service — including us

Case study writing services are easy to compare on price and hard to compare on what matters. These five questions separate transcription from proof — use them on us too.

  1. Who runs the customer interview — and is it on video?

The interview is the asset. A writer working from your call notes is doing transcription; a structured interview the customer showed up for, captured on video, is proof — and customers speak more candidly to a neutral third party than to their account manager.

  2. Is every quote approved by the customer — once, in writing?

One-pass approval means the customer signs off on their words a single time, and every downstream format inherits that consent. Anything else reopens legal review every time you reuse a quote.

  3. How many assets come out of one interview?

One conversation should yield the written story, a testimonial video, an approved quote bank, a one-pager, and an anonymized version. Booking a writer and a video service separately means asking your customer twice. If the deliverable is one PDF, the interview was underused.

  4. Can a skeptical buyer trace every claim to a real person?

On-record proof — a named person, on video, who approved their words — is what separates proof from marketing. If the answer is a logo and an unattributed quote, buyers discount it, and so do AI engines.

  5. What happens to the material afterward?

A delivered PDF is the end of most engagements. An interview captured into an indexed, consent-tracked proof base keeps producing — new formats, new campaigns — without going back to the customer.

And the questions people ask us

How much does a case study cost?
Fixed scope, quoted per engagement rather than by the hour. It depends on how many formats you want out of the interview, so you get the real number on the call — before you commit to anything.
How long does it take?
Your customer's calendar and their review, not our production time. Our fastest run was three business days end to end. You'll get a real date once we know who the customer is.
What if my customer says no?
Then you've lost a conversation, not a case study. Consent and usage are settled at the interview, not discovered at the end of it — the opposite of the usual order, where everything gets written and shot first and the ask comes last, so a no costs you the whole engagement. Here, we point the same process at a different customer.
What do you actually need from my team?
An introduction to one happy customer, and a few questions answered about the account so we go in informed. That's the whole ask.
We already write our own case studies. Is this still useful?
Often yes, because the bottleneck is rarely the writing. If drafts stall in the approval chain, or one interview yields one asset instead of five, that's what this fixes. If your motion is already working, keep running it — we'd tell you so on the call.

What if getting case studies made isn't the real problem?

Teams that can't get customer stories out the door usually aren't stuck on the stories. Here's how the pieces fit together.
